Case Study Regional Bakery Chain

Executive Summary

The journey of a regional bake shop chain began way back in 1984. It all started as a small bakery and coffee shop in a quiet part of Kerala, Karukutty. Today, the organization operates ten stores, offers over 450 mouthwatering products, and is supported by a strong team of around 350 employees.

To manage its expanding operations, the company was using an on-premises Odoo ERP system, which presented several operational challenges. To overcome these issues and improve performance, the organization decided to host its ERP on the cloud.

About Customer

Known widely as a well-established regional bakery chain, the journey began in 1984 with a modest bakery and coffee shop in Karukutty, Kerala. Founded by a group of committed entrepreneurs, the business started with just 6 employees, a menu of 30 products, and a rented space.

Over the years, this humble beginning has grown into ten retail outlets, offering more than 450 products, and employing approximately 350 people.

Over 35 years, the organization has grown steadily, driven by the loyalty and trust of its customers. In 1996, the production unit was independently acquired and restructured, marking an important milestone in its expansion journey. Later, in December 2010, the business was formally registered as a private limited company, strengthening its operational and legal foundation.

Its traditional snack offerings have remained highly sought after for more than three decades, and the organization continues to deliver excellence through consistently high-quality, flavorful products.

Migrating to the Cloud for Speed and Scalability

The transition of customer data and the smooth migration to AWS significantly reduced the need for the organization to focus on hardware-related concerns. Rapid data backups and robust redundancy mechanisms effectively eliminated capacity limitations, resulting in improved speed and enhanced disaster recovery capabilities.

The organization experienced a significant reduction in service deployment time—new services that previously took weeks could now be launched within minutes. Additionally, the cloud infrastructure provided the flexibility to scale services rapidly in response to fluctuating demand.

One of the most notable advantages was the ease of scalability, allowing capacity to be adjusted quickly through service requests, ensuring efficient implementation.

With the successful migration of customer data to AWS, the organization is now positioned for further modernization, enabling greater corporate agility and potential cost savings in the long term. By leveraging AWS, the company is well equipped to pursue collaborations, partnerships, and expansions both within India and globally.

This transformation is particularly impactful given the use of Odoo ERP, which is hosted on an Ubuntu Linux environment on AWS, enhancing reliability and operational efficiency.

Customer Challenges

Operating a network of bakery branches across multiple locations, the organization manages a workforce exceeding 350 employees. To streamline operations, an on-premises Odoo ERP system was initially implemented. However, this setup led to multiple challenges, including performance limitations, maintenance overhead, and scalability issues.

To address these challenges and improve operational efficiency, the decision was made to migrate the on-premises Odoo ERP system to AWS cloud infrastructure.

Solution

The organization’s diverse requirements necessitated a comprehensive solution approach. An initial attempt was made to migrate the existing Odoo server; however, delays caused by the on-premises environment led to a revised strategy.

A Linux Ubuntu test server was first created, where the Odoo ERP was carefully configured and tested. The instance type was dynamically adjusted to meet performance requirements.

Following successful testing, a new Ubuntu Virtual Machine (VM) was provisioned for production. The applications were seamlessly migrated to this environment, ensuring stable and efficient operation. To further enhance performance, the VM underwent multiple upgrades to accommodate evolving operational demands.

In addition to Odoo, the organization required a Windows-based HRMS server. A dedicated HRMS server was provisioned and configured in close coordination with the client.

To ensure continuous monitoring and reliability, AWS CloudWatch logs were implemented, enabling real-time monitoring and quick identification of issues. A daily backup schedule was also established to safeguard critical data and ensure business continuity.

While attempts to deploy Elastic Beanstalk environments were constrained by architectural limitations, the overall solution successfully addressed the organization’s requirements. The cloud migration significantly improved operational efficiency and established a strong, scalable foundation for future growth.
